Our Annual general meeting will be taking place on December 12 @ 7pm on zoom.
The AGM is our main democratic event of the year. It’s our chance as a club to reflect on the season. It’s your chance to hold us to account and to shape the future of the club as we elect our new committee.
At the AGM, the club looks back over the previous year’s business. The committee will present their annual report, and members have the opportunity to discuss, question and raise any issues regarding the club with the committee.

The AGM would usually be followed by Dragons Awards and, of course, a night out, however. with covid restrictions this isn’t possible.
Get involved, ask questions, vote in your new committee, or better yet, run for a committee position yourself.

Quoring The Meeting

For the meeting to be Quorate, (for voting and AGM to be able to be legitimate), we need to have 45% of the membership in attendance. If the AGM is not quorate, this means it will need to be rearranged for a future date at least two weeks after the original date. If this happens, the club will be unable to function in the meantime, meaning no football will be organised, so please do your very best to attend.

Committee Report of Year

An annual report will be published one week in advance of AGM for the members to read through and on the day each committee member will give a basic summarised report based on their role during the season. Members will then have the opportunity to ask any questions to the committee member regarding their report.

Motions for Discussion

All members have the option to submit motions to the AGM. These tend to be, but are not limited to policy suggestions for discussion and vote. These could be items such as a previous year’s motions to enter the Sunday League. This is your chance not only to bring issues forward, but to have them discussed and voted on by the club. A motion form must be submitted and must be signed by a proposer, and 2 people who support the motion. We understand that this process may be daunting to some members, so if you have an issue you would like to bring forward and you would like some help,

AOB

Members including committee members can also bring any other business (AOB) items to the AGM. These are any issues which you wish to discuss at the meeting but are not motions. An AOB form must be submitted and must be signed by the member raising the business. These must be submitted to (chairperson@cardiffdragonsfc.co.uk) at least 3 days before AGM. Again, if you would like some advice on this, do not hesitate to ask.

Committee Positions (The Important Bit)

Each year we vote for a committee to join together to work for the members and Cardiff Dragons. All of the positions are decided by an election and the elected member will serve for the next 12 months.

The committee positions are:
Chairperson
Secretary
Treasurer
Football Manager
Press & Marketing
Finance & Fundraising
Social
Welfare

A brief summary of the roles and responsibilities is on the club constitution and roles and responsibilities document (attached).

To apply for a committee position, you need to submit a committee application form a minimum of 2 weeks before the AGM. These will then be sent out for the members to view prior to the AGM.

Cardiff Dragons FC relies entirely on the good will of volunteers giving up their time to take up committee positions to get business formally carried out for the club. We welcome any members who think they would like to help the club more by joining committee to apply. If you might be interested and would like to know more, please come and chat to one of the committee members, who will be happy to discuss any roles and what we do.

In previous years we have often had only one, sometimes no members applying for positions. We think that even if you think there is someone running for a position, please apply and compete for the position as it creates healthy competition and will create a stronger Cardiff Dragons. There is no reason that you could not apply for a position as a job-share with another member to share responsibility and work load.

The elections should be about appointing the best candidates to work on committee. Elections should be about ideas and policies and should not be a personality contest. If you were to apply as a candidate but not be successful, you should not be discouraged in the future as every candidate brings strong ideas to the table and when two or more people are going for a position the difference is usually very few votes.

Voting

A vote will take place for the committee positions and any motions. Members who were full members at least 6 months before the AGM will be eligible to vote. A list will be available prior to the AGM of eligible voters.

For committee positions, voters can also vote for RON. RON is re-open nominations. Voting for RON means that you are unhappy with the candidates presented to you and wish for a further search for nominations to take place.

A vote shall be carried by a simple majority of members with the Club Chairperson having a right to a casting vote.

Awards / Night Out

Usually after the formalities of the AGM is the enjoyment of the awards and the night out. A chance to celebrate the previous 12 months, this is always a highlight in the Dragons calendar and we have a good old knees up!! Unfortunately this won’t be possible with covid restrictions this year.
